Position Overview

Adams & Martin Group has partnered with a highly respected Century City law firm seeking an experienced Billing Specialist to join their Accounting team. This role supports the full client billing cycle and requires strong communication, sound judgment, and the ability to work both independently and collaboratively in a fast-paced legal environment.

Responsibilities

The ideal candidate brings law firm billing experience, strong technical skills, excellent client service, and a thorough understanding of accounting principles. This is a client-facing role (both internally and externally), requiring professionalism, accuracy, and the ability to manage competing priorities. This position is hybrid following the training period and reports to the Controller/Accounting Manager.

Billing & Invoicing

  • Manage and facilitate the monthly client billing cycle.
  • Distribute prebills, complete edits, and finalize invoices, including split-party billing, flat fees, discounts, and alternative billing arrangements.
  • Review billing rates, client addresses, billing notes, and ensure accuracy throughout the process.
  • Prepare and deliver client invoices via mail, email, or eBilling platforms (must confirm eBilling transmission within 24 hours).
  • Provide supporting documentation and coordinate special billing requests.

Attorney, Client & Internal Communication

  • Serve as a primary resource for Billing Attorneys, secretaries, and clients regarding billing matters.
  • Conduct monthly meetings with Billing Attorneys on billing concerns or required adjustments.
  • Contact new clients to review billing guidelines and payment terms.
  • Respond to emails/voicemails within a two-hour window.

eBilling, Reporting & Financial Tasks

  • Ensure accurate setup of eBilled matters (task codes, matter numbers, rates, etc.).
  • Prepare budgets, accruals, and rate approvals for clients and eBilling sites.
  • Address eBilling status inquiries and coordinate resolutions.
  • Assist with accounts receivable and cash receipts questions.
  • Process trust applications, unallocated funds, and secure proper approvals for write-downs or write-offs.
  • Monitor aged WIP, unallocated payments, and trust/retainer balances.
  • Complete reporting, analysis, and special projects as assigned.

Daily Tasks

  • Prebill review and editing
  • Prepare draft and final invoices
  • Submit eBilling and follow up on approvals
  • Communicate proactively with Billing Attorneys on billing and collections
  • Respond to client and attorney inquiries promptly

Requirements & Skills

  • Prior law firm accounting/billing experience is required.
  • Strong understanding of accounting principles and law firm billing processes.
  • High proficiency with Excel; ability to run and reformat reports.
  • Experience with ProLaw preferred; Matter Expert and Paperless ProForma a plus.
  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • High level of professionalism, client service, and discretion with confidential information.
  • Ability to prioritize under tight deadlines and manage competing demands.
  • Demonstrated initiative, problem-solving skills, and willingness to provide and receive constructive feedback.

Schedule

  • 7.5-hour shift
  • Hybrid after training
  • Based out of the firm's Century City office
  • Work Hours: Monday to Friday
